Repair Terms and Conditions

These Repair Terms & Conditions (“Terms,” “Agreement”) govern all diagnostic, repair, and modification services performed by Retro Regen.
By purchasing or submitting any item for service, you acknowledge and agree to the following:

1. Scope of Service

Retro Regen provides diagnostic, repair, modification, and restoration services for vintage gaming consoles, handhelds, and related devices.
All work is performed at our facility using professional tools, parts, and procedures.

Due to the age and condition of vintage electronics, Retro Regen is not responsible for failures of components unrelated to the authorized repair or for pre-existing damage not apparent during initial inspection.

It is the customer’s responsibility to ensure that all contact information provided is accurate and actively monitored for service-related communications.


2. Evaluation Fees, Deposits & Authorization

Retro Regen provides written repair estimates based on the information submitted by the customer prior to shipment. Upon receiving your item, a thorough diagnostic evaluation is performed.

  • Evaluation Fees (Repair Services): A non-refundable evaluation fee applies to all repair-only services submitted through the diagnostic and repair process (this does not apply to prepaid maintenance services purchased through the website): $30 for consoles/handheld systems, and $15 for up to three game cartridges (plus $3 for each additional cartridge).
  • Deposits (Modification Services): For requested modification services, a non-refundable deposit may be required upon estimate approval to secure parts and bench time.
  • Fee Crediting: Evaluation fees apply to diagnostic and repair services and are credited toward the final invoice only when repair work is approved. If repair is declined after evaluation, the evaluation fee covers completed diagnostic labor and is not applied to standalone or cosmetic-only services. Modification deposits are credited toward the final invoice total for the approved modification services.

No repair or modification work will begin until the device has been received, the estimate is approved, and the required upfront fee/deposit is paid.
Evaluation fees are required for all diagnostic repair intakes and are separate from prepaid maintenance or cosmetic services offered through the website.


3. Payment & Estimates

  • Repair estimates are issued prior to shipment and are valid for 30 days from the date issued.
  • Once the estimate is approved, payment of the required upfront Evaluation Fee or Modification Deposit is due before any bench work or parts ordering begins.
  • An invoice for the remaining balance is issued after the authorized work is completed. Payment in full of the remaining balance is required before return shipment, unless otherwise agreed in writing.
  • If additional issues are discovered during service, Retro Regen will pause work and obtain customer approval before proceeding with any additional charges.
  • If an issued estimate is declined after the diagnostic evaluation, the device will be returned at the customer’s expense, and the customer will only be responsible for the non-refundable evaluation fee and the cost of return shipping.

3.a Prepaid Maintenance Services (Buy Now Services)

Retro Regen offers select flat-rate maintenance services that are purchased in advance through the website (“Prepaid Services”), including but not limited to cartridge cleaning and save battery replacement.

For these services, the standard estimate and evaluation workflow does not apply.

Service Scope (Prepaid Services):
Prepaid Services are intended for items that are already functional and only require routine maintenance, such as cleaning or battery replacement. These services do not include diagnostic repair or troubleshooting of non-working items.

Eligibility Requirement:
By purchasing a Prepaid Service, the customer confirms that the item is in working condition unless otherwise disclosed in writing prior to shipment.

Non-Working Items:
If an item submitted under a Prepaid Service is found to be non-functional or requires repair beyond the scope of the purchased service, Retro Regen will notify the customer and provide a repair quote. No additional work will be performed without approval.

At that point, the customer may choose to:

  • Approve the additional repair work, or
  • Have the item returned (return shipping charges apply)

Refund Policy (Prepaid Services):
Prepaid Services are non-refundable once the item has been received and processing has begun. If the item is determined to be outside the scope of the purchased service before work begins, Retro Regen may, at its discretion, apply the payment toward a repair quote or issue a refund minus any applicable processing or inspection time.

Turnaround Time:
Prepaid Services follow the same general service timeline outlined in Section 5 unless otherwise stated on the product page.

Certain maintenance services, including disc resurfacing, are outcome-dependent and are performed on a best-effort basis without guarantee of full functionality.


4. Shipping Instructions

After a repair request has been reviewed and approved, shipping instructions will be made available through the Retro Regen customer portal or another written method selected by Retro Regen.

Customers must not ship property to Retro Regen until the repair request has been approved and the applicable shipping instructions have been provided.

Customers may purchase their own shipping label or, when available, purchase a prepaid shipping label through the Retro Regen customer portal.

Customers are responsible for:

  • Securely packaging and protecting their property;
  • Following Retro Regen’s shipping and packaging instructions;
  • Shipping only the devices, accessories, and other items identified in the approved repair request or specifically requested by Retro Regen;
  • Providing complete and accurate address and shipment information;
  • All inbound shipping costs unless otherwise agreed in writing; and
  • Providing tracking information through the customer portal when tracking is not automatically associated with the repair request.

Retro Regen is not responsible for carrier delays, loss, mishandling, or shipping damage occurring before a shipment is delivered to and checked in by Retro Regen.

Customers are strongly encouraged to use adequate packing materials, tracking, insurance, and signature confirmation appropriate for the shipment’s value.

4.a Shipping Deadlines and Intake Window

Unless otherwise stated in the customer portal or agreed in writing, an authorized shipment must be sent within 15 business days after shipping instructions become available.

When a customer purchases a prepaid label through Retro Regen, the label must be used before it expires and only for the approved shipment for which it was issued.

If a shipment is not sent within the applicable intake period, Retro Regen may release the reserved repair slot, require renewed authorization, cancel an unused label when possible, or reschedule the service based on current availability.

A device shipped outside the authorized intake window without prior approval may be returned at the customer’s expense or placed into the current service queue based on availability.

Tracking information must be submitted through the customer portal unless tracking was automatically generated and associated with the repair request through Retro Regen’s prepaid-label system.

4.b Prepaid Shipping Labels and Carrier Adjustments

Retro Regen may allow customers to purchase prepaid inbound or return shipping labels through the customer portal.

Package Information

Prepaid-label rates are based on package and shipment information that may include:

  • Exterior package length;
  • Exterior package width;
  • Exterior package height;
  • Fully packed package weight;
  • Packaging type;
  • Origin and destination addresses;
  • Carrier;
  • Service level; and
  • Other information required by the carrier.

The customer must review and confirm that the package information displayed during label purchase accurately represents the fully packed shipment.

Package weight must include the device, accessories, packing materials, and shipping container. Dimensions must represent the outside measurements of the fully packed package, including any bulges or irregular portions.

If the customer uses a suggested package profile, the customer remains responsible for confirming that the displayed dimensions and weight are appropriate for the actual packed shipment.

A prepaid label may not be used for a different shipment, package, contents, or addresses.

Carrier Adjustments

Shipping carriers may independently weigh, measure, inspect, or reclassify packages after acceptance. This may result in additional postage, dimensional-weight charges, address-correction charges, packaging charges, service corrections, nonstandard-package fees, or other adjustments.

The customer is responsible for a documented carrier adjustment when it results from:

  • Inaccurate package information provided or confirmed by the customer;
  • Packaging or contents changed after the label was purchased;
  • An incorrect or incomplete address provided by the customer;
  • Use of the label for a different shipment;
  • Failure to comply with carrier requirements; or
  • Another circumstance attributable to the customer’s preparation or use of the shipment.

Retro Regen may issue a supplemental invoice for a valid customer-responsible adjustment. If the customer’s property remains in Retro Regen’s possession, the outstanding adjustment must be paid before return shipment.

Retro Regen will provide available carrier or shipment documentation supporting an adjustment upon request.

Retro Regen will not bill the customer for an adjustment caused solely by:

  • A hidden package default or placeholder that was not displayed to the customer;
  • Package information entered or selected entirely by Retro Regen without customer confirmation;
  • A Retro Regen software, configuration, or data-entry error;
  • An incorrect rate or carrier service selected by Retro Regen’s systems;
  • A duplicate label or transaction caused by Retro Regen; or
  • Another error attributable to Retro Regen rather than the customer.

Retro Regen may classify an adjustment as customer-responsible, Retro-Regen-responsible, carrier-disputed, or pending review. Only an adjustment classified as customer-responsible may be invoiced to the customer.

Retro Regen will not automatically charge a previously used payment method for a carrier adjustment. A supplemental invoice will be issued when additional payment is required.

These prepaid-label and carrier-adjustment provisions apply only to labels purchased on or after the date these provisions become effective and only when the customer was shown and required to confirm the package information used to calculate the rate.


5. Repair Process & Turnaround

Repair timelines depend on parts availability, repair complexity, and current service queue volume. Most standard repairs are completed within 2–4 weeks after the device has been received and checked in. Complex repairs, restorations, or parts sourcing may require additional time. No repair work is performed until all of the following conditions are met:

  • The Repair Authorization Form has been completed and approved.
  • The device has been physically received and checked in at Retro Regen.
  • Any required diagnostic or repair estimate has been accepted, and the required upfront evaluation fee or deposit has been paid.

Each console is fully tested for power, video, audio, and controller functionality prior to return shipment.


6. Warranty

Completed repairs include a 90-day limited workmanship warranty covering functionality of the specific services performed and parts installed by Retro Regen.
This warranty period begins on the date the repaired device is delivered back to the customer.
This warranty applies only to the specific services performed and components replaced during the authorized repair.
This warranty is separate from and does not extend to any unrelated components, pre-existing conditions, or future failures due to age or normal wear.

6.a Warranty Exclusions

  • Failures or issues unrelated to the serviced or replaced components
  • Failures caused by pre-existing conditions, age-related degradation, or normal wear
  • Physical damage, liquid damage, or electrical damage occurring after return shipment
  • Customer modifications, tampering, disassembly, or attempted repairs performed after service
  • Damage caused by improper power supplies, accessories, or environmental conditions
  • Warranty claims require proof of purchase, service date, and may require the device to be returned for evaluation.
  • Retro Regen reserves the right to repair or replace the warranted component at its discretion.

7. Damage & Shipping Waiver

By agreeing to these Terms, you acknowledge and agree that Retro Regen is not liable for:

  • Damage to any console or device resulting from pre-existing conditions, age-related component failure, corrosion, voltage irregularities, or prior modifications;
  • Any failures or damage that occur during or after the authorized repair process that are unrelated to the specific services performed;
  • Shipping damage resulting from inadequate packaging, insufficient protection, or carrier mishandling during inbound or outbound transit;
  • Delays, loss, or damage caused by shipping carriers or third-party logistics providers.

7.a Shipping Responsibility & Risk

  • Customers are responsible for proper packaging, compliance with provided packing instructions, and all inbound shipping costs
  • Retro Regen assumes responsibility for the device only after it has been received, inspected, and checked in at our facility.
  • Purchasing shipping insurance is strongly recommended, as Retro Regen cannot file claims on behalf of customers for uninsured shipments.

8. Abandonment Policy

Repairs that remain unpaid, unclaimed, or unresponsive for 30 days after customer notification will be considered abandoned.
Notification may be provided via email or other contact information supplied by the customer.
Retro Regen is not responsible for maintaining long-term storage of abandoned devices.
Once a device is considered abandoned, Retro Regen may, at its discretion:

  • Recycle the device;
  • Resell the device;
  • Use the device for parts or training purposes;

All without further notice or compensation to the customer.

Any outstanding balances, diagnostic fees, or shipping costs remain non-refundable.


9. Unable to Repair

  • If a device cannot be repaired or required replacement parts are unavailable after intake and evaluation, Retro Regen will return the device unrepaired.
  • The evaluation fee applied to your service remains non-refundable, as it covers evaluation, teardown, testing, and fault identification performed during the diagnostic process.
  • No additional labor charges will be applied beyond the evaluation fee unless otherwise agreed in writing.

10. Limitation of Liability & Disclaimer

Repair services are provided “as is” and “as available.”
Retro Regen disclaims all implied warranties, including merchantability or fitness for a particular purpose, to the extent permitted by law.

Retro Regen’s total liability for any repair-related claim is limited to the amount paid for the specific service performed.


11. Governing Law

These Terms are governed by the laws of the State of Texas, USA.
Any dispute arising under these Terms shall be resolved exclusively within the jurisdiction of Fort Bend County, Texas.


12. Updates to These Terms

Retro Regen reserves the right to update or modify these Terms at any time.
Changes will be posted on this page and become effective immediately upon publication.
Continued use of Retro Regen’s repair services constitutes acceptance of the updated Terms.
